Building an AI-Supported Training and Operations System

Flowline partnered with a growing instructional business on an engagement with two centers of gravity: preparing a distributed sales and service team for remote work, and modernizing how supervisors document staff evaluations. It began with knowledge organization and grew into AI adoption, workflow design, and an operational intelligence roadmap.

PART 1

Remote-ready onboarding and knowledge support

Hundreds of operational and training documents lived across different sources, and a newly distributed sales and service team needed reliable access to all of it. Flowline turned that scattered knowledge into a structured, AI-supported onboarding environment.

  • Interviewed organizational leaders to understand priorities, workflows, pain points, and AI-readiness needs
  • Reviewed and organized more than 400 operational and training source files
  • Designed six role-specific NotebookLM environments for sales and service onboarding
  • Created guided learning flows, multimedia training resources, knowledge checks, and remediation experiences
  • A structured, AI-supported onboarding environment for distributed employees
  • Organizational knowledge that is easier to access and apply during real work
PART 2

An AI-supported evaluation workflow

In a separate part of the business, staff evaluations were slow to document and easy to fall behind on. Flowline designed and trained supervisors on a voice-to-structured-text workflow that pairs automation with human review, so judgment stays with the supervisor and the paperwork does not.

  • Trained supervisors on the workflow and supported adoption
  • Adopted by 17 supervisors
  • Completed evaluations increased more than 30 percent over three months

Across the engagement

  • Facilitated an AI best-practices workshop for leaders and supervisors
  • Developed an operational intelligence roadmap covering progression risk, staff coverage, evaluation data, and leadership visibility

Status: the onboarding environments, workshop, and evaluation workflow are complete and in use. The operational intelligence roadmap defines the next phase; those dashboards and systems are planned, not yet built.
